SubbieTrack ("we", "us", "our") is committed to protecting the personal information of our users in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and related regulations of the Republic of South Africa.

1. Information We Collect

We collect the following personal information when you register and use SubbieTrack:

• Your full name and email address
• Your company / trading name, VAT number, and business contact details
• Project data, quote data, cost records, and financial summaries you create
• Site photos and receipt images you upload
• Payment and subscription status (processed via Paystack)
• Device information and app usage logs for debugging

2. How We Use Your Information

• To provide, maintain, and improve the SubbieTrack service
• To generate PDF quotes and reports on your behalf
• To process subscription payments via Paystack
• To send transactional emails (password resets, account notices)
• To respond to support requests

We do not sell, rent, or share your personal information with third parties for marketing purposes.

3. Data Storage

Your data is stored on secure servers hosted by Render (PostgreSQL database) in the United States. Images are stored on Cloudinary (United States). Both services comply with international data protection standards.

4. Third-Party Processors

We use the following third-party services to operate SubbieTrack:

• Paystack — payment processing (South Africa / Nigeria)
• Brevo — transactional email delivery
• Cloudinary — image storage and delivery
• Render — cloud hosting and database
• Google Gemini — AI-powered features (receipt OCR, quote assist)
• Firebase (Google) — push notifications

Each processor is bound by their own privacy policies and applicable data protection laws.

5. Data Retention

We retain your data for as long as your account is active. If you close your account, we will delete your personal data within 30 days, except where we are legally required to retain records for longer.

6. Your Rights (POPIA)

Under POPIA, you have the right to:

• Access the personal information we hold about you
• Correct inaccurate personal information
• Request deletion of your data (subject to legal retention obligations)
• Object to the processing of your personal information
• Lodge a complaint with the Information Regulator of South Africa

7. Cookies

Our website does not use tracking cookies. The SubbieTrack mobile app uses device storage (SharedPreferences) to maintain your login session locally.

8. Children

SubbieTrack is not intended for persons under 18 years of age.

We may update this policy periodically. We will notify active users of material changes via in-app notice or email. Continued use of SubbieTrack after changes constitutes acceptance.
